The priority is the file type that the employer wants. If not specified, PDF may be considered for sharing the layout and Word may be considered for providing an editable copy; Open both and check.
Read the application system's instructions first
Start with the job posting and the upload instructions. Check the accepted file extension, size limit and any required template. If the portal accepts only DOCX, follow that requirement. If the recruiter requests a specific format, use it.
If no format is specified, consider how the document will be used. A file for direct reading and an editable copy for feedback serve different needs. Sending two versions with the same application is not always helpful; provide a clear main document and avoid unrequested attachments.
Control appearance and text together in PDF
When you select PDF, don't just look at the thumbnail preview. Open the file and examine it at normal reading size. Check whether the headings are left alone at the end of the page, whether the date information extends beyond the line, and whether the links go to the right place. Looking at it on the phone also makes it easier to notice small text and overly narrow columns.
Try selecting and copying a line of text. Then paste it into the plain text field and see if the characters can be read. This practical check does not guarantee compatibility with all application systems; but it will help you detect files that are just images or contain garbled text.
Open Word file like end user
Because the DOCX document is editable, it is useful in situations where feedback and content changes are required. However, the application and fonts used may affect line breaks. Open the Word file you downloaded in your own editor; Check page count, bullet points, and table layout.
The visual layout of ToolsCD's editable Word output and the PDF may not be exactly the same. So don't rely solely on the editor preview. If you are going to use Word in a submission, check that the final edit is actually on the DOCX you will be submitting and re-save the file with the correct name.
Don't trust solid promises about ATS
Applicant tracking systems do not consist of the same product and settings. Just because a file is read in a particular tool does not prove that it will be processed the same way on all systems. Do not make promises such as “100 percent ATS compatible” or “definitely passes automatic screening” as the basis for file selection.
Standard section names, actual text, clear experience order, and clear contact information provide a good start. Present the phone number as text rather than just placing it in the image or sending the entire resume as a screenshot. If the system fills in the fields after uploading your file, check the transferred information separately.
Edit file name and version
A name like “cv-son-son2” won't remind you which file was sent. Create a simple filename with your name, role and, if useful, language. Replace the name in the example with your own information. Make sure you don't leave confidential notes or comments from previous employers in the file.
Representative file name: Name-Surname-Customer-Support-CV-TR.pdf. For the English version, the suffix may be EN. This is not a mandatory standard, but rather a suggested layout to make it easier to distinguish files.
Check the final attachment before sending
Make sure that the file you attached to the email or uploaded to the system is the correct version. Creating a new file in the local folder does not automatically replace the old attachment. If the application system offers a preview, open the uploaded document from there as well.
If you are using a downloadable portfolio or QR link, check the file's access permission separately. A QR code does not open a document that does not have access permission. The information required for the application must also be included in the CV; The link can remain a support tool that makes it easier to access additional content.

0 / 5 steps completedFrequently asked questions
Will every application system read a PDF correctly?
No such guarantee can be given. Systems and file structures are different. Use the desired format, try text selection, and check the fields the system imports.
Can I send the CV as a photo or JPG?
Unless the employer specifically requests an image, a document containing selectable text is usually more useful. Images offer limited text selection and editing. Follow the file types accepted by the application portal.
